Projects with fees $30,000 and over
75% of agreed fee payable on acceptance of proposal/commissioning. 25% on delivery of presentation or report. Payment is due within 14 days of invoice date. Pollinate reserves the right to charge interest on amounts outstanding after 14 days.
50% of agreed fee payable on acceptance of proposal/commissioning. 50% on delivery of presentation of report except in the event of project being delayed by client, then 25% on completion of fieldwork and 25% on delivery of presentation or report. Payment is due within 14 days of invoice date. Pollinate reserves the right to charge interest on amounts outstanding after 14 days.
Fees quoted within the proposal shall apply for 14 days subject thereafter to change. The quotation is based on our best estimates of incidence of target sample, questionnaire length, sample structure, timing requirements and our assumed role in the preparation, management and reporting of the study.
We reserve the right to re-cost the study at any time if these core assumptions are beyond that detailed within the agreed proposal GST will be charged at 10% on Pollinate fees for services provided in connection with Australia. Tax invoices containing GST are due for payment to Pollinate within 14 days of the date of the invoice.
This quote assumes one presentation of the findings. We are happy to conduct a second presentation free of charge. However, third and subsequent presentations of findings will be a minimum of $3,000 each. If the presentation is required outside the greater Sydney area additional costs will be added for travel costs. Reporting includes an electronic copy and where requested, two colour copies of the presentation. Any additional colour copies will be charged at $70 per copy. Audio and Video recording of groups are inclusive.
Unless otherwise stated in the proposal, all costs incurred covering executive travel, accommodation, interstate, overseas and VIP couriers, stimulus material preparation, site hire, computer hire will be charged on to you directly with a 10% surcharge with the final invoice. A best estimate of these costs will be detailed in the proposal.
Project Postponement or cancellation
Any changes initiated by the client to the project timetable may incur a change or postponement fee. For quantitative fieldwork this may be at least $1,000. For qualitative this may be at least $300 per group or $100 per in-depth interview. In the event a project is completely cancelled by a client, Pollinate reserves the right to render a fee to the client for all costs and executive time incurred up to the time that notice of cancellation is received by Pollinate.
Pollinate is currently undergoing certification for ISO 20252, the international quality operating standard for market research agencies.
As a member of the Australian Market & Social Research Society, Pollinate abides by the Professional Standards as outlined on , including the “Code of Professional Behaviour”, covering State & Federal legislation regarding privacy & confidentiality as outlined by the Code.
Recruitment of participants
Pollinate partner with 3rd party agencies who specialize in finding sample for quantitative & qualitative research.
Unless otherwise advised Pollinate will engage with ISO 20252 accredited agencies to provide sample for this project.
In accordance with ISO 20252 and the AMSRS Code of Professional Behavior, unless otherwise agreed to by the participants, all participant information provided to you in the course of this project will be de-identified so that the identify of the participant is protected. This includes pre-tasks (either paper of video), recordings, participant answers and sample outputs.
In accordance with ISO 20252 and the AMSRS Code of Professional Behavior, all hard copies of material and/or video content related to this project that we deem necessary to retain, we will do so for up to a period of 12 months. If there are specific items you would like us to retain, please advise on the commissioning of this project, otherwise materials that are retained will be decided by Pollinate (and destroyed via a confidential and secure waste removal service).
